Empactis Privacy Policy

Empactis Limited provides a technology platform for managing employee health and wellbeing.

When you request information about our services or contract with us to provide the services, or when you or your employer has commercial discussions or arrangements with Empactis, we will during the course of our communications with you collect some personal information about you, your organisation and the dealings between yourself, Empactis and the organisation you work for.

Empactis Ltd has created this Privacy Notice under the General Data Protection Regulations 2018.

1. Introduction and General Terms

Empactis Ltd is committed to protecting your personal information when you are using our products, services or communicating with Empactis personnel. We want our service and products to be safe, transparent and reliable when handling any data relating to you.

This Privacy Notice relates to our use of any personal information we collect on you. It also relates to our use of any personal information you provide to us by phone, SMS, email, in letters and other correspondence and in person.

Empactis Ltd is committed to safeguarding your personal information. Whenever you provide such information, we are legally obliged to use your information in line with all applicable laws concerning the protection of personal information, including the General Data Protection Regulations 2018. No system of data storage can be completely secure; if you have any concerns or complaints that your personal data held by Empactis could have been compromised: someone could have discovered your personal details held by us, please contact us immediately. 2. Introduction and General Terms

Empactis will use the personal information for a number of purposes including the following:

  • To provide you with information relating to our services and products
  • Ensuring that we have accurate information so that we may communicate with you and keep you updated of developments as we provide our service to you
  • In order to support you in the use of our services
  • To communicate any commercial matters or general exchange of information in relation to the any agreement, formal or otherwise between Empactis and the organisation you work for
  • Ensuring that we have your consent and that we hold accurate information so that we may contact you at a future date for the purposes of quality control, surveys or research purposes or marketing activities

3. When will Empactis contact you?

Empactis may contact you for any reason as defined in section 2

4. Will Empactis contact you for marketing purposes?

Empactis will not send marketing emails or contact you for purposes other than those outlined in Section 3.

Empactis will only send you marketing emails or contact you where you have agreed to this by giving us your consent. From time to time we may also contact you to ask your views about the service Empactis has provided to you. We may personalise the message content based upon any information you have provided to us.

If you want to stop all personalised messages from Empactis, including targeted marketing messages you can contact us at any time and instruct us to stop. Empactis will, of course, stop.

5. Will Empactis share your personal information with anyone else?

We will keep your information within business tools utilised by Empactis except where disclosure is required or permitted by law (for example to government bodies and law enforcement agencies), where sharing is required to fulfil the contract between us or where you have consented to us sharing your information with other parties involved in the service we provide to you, or you to us.

We will store your information securely within the tools used by Empactis, which include Office 365 and Pipeliner CRM and will only provide access to such information outside Empactis where you have requested it via a data portability request, or given your consent. Empactis requires all third parties to comply strictly with its instructions and Empactis requires that they do not use your personal information for their own business purposes and only use your information for reasons associated with the services we provide for you or vice versa.

6. How long will Empactis keep your information?

We will hold your personal information on our systems for as long as is necessary for the purposes in section 2 or whilst we have your consent to do so.

7. Can your data be deleted?

You can always ask for your information to be deleted by Empactis. However, please bear in mind that we are required to hold certain data in relation to any services we provide to the organisation you work for or for any services Empactis consumes from you and this may mean we cannot delete all data relating to you.

8. Can I find out what personal information Empactis holds about me?

Under the General Data Protection Regulations 2018 data subjects have the right to request a copy of the personal data Empactis holds and to have any inaccuracies corrected. The data subject is required to prove their identity with 2 pieces of approved identification, any copies of which we will destroy afterwards. We have a legal duty to supply, correct or delete personal information about you on our files. Valid forms of identification are two copies of the following forms of identification:
  • Passport
  • Driving Licence
  • Birth Certificate
  • Utility Bill (from last 3 months)
  • Current vehicle registration document
  • Bank Statement (from last 3 months)

9. Web browser cookies

A cookie is digital information, which has a unique identifier function that is sent to your computer, tablet or mobile phone web browser from a website that you visit and is stored on your device. All websites can send cookies to your device web browser if you allow it. Many websites do this in order to track online usage. Similar technologies are also often used within emails.

Empactis uses cookies and other unique identifier when you visit our website. Your web browser may also provide the information about your device, such as an IP address and details about the browser that you are using. Empactis collects information such as the device you are using, your IP address or the browser you are using for marketing purposes.

10. Do Not Track (DNT) browser settings

DNT is a feature offered by some browsers which, when enabled, sends a signal to website to request that your browsing is not tracked, such as by third party ad networks, social networks and analytic companies. The website does not respond to DNT requests.

11. Changes to Empactis Privacy Notice

This Privacy Notice may be updated from time to time so you may wish to check it each time you submit personal data of your employees to Empactis. If you do not agree to any changes, please do not continue to use the Empactis service or submit your personal data to Empactis. You can also request that Empactis delete your personal data that Empactis holds at any time – (unless there is an additional statutory reason requiring the retention of this data (for example a statutory record of health surveillance).
